Aspire Booster Club Meeting Minutes

Date:     April 11, 2009

Attendees:  Kristi Mead, Beverly Parkerson, Ana Mizelle, Gidget Hagenburger, Annie Fuentes, Scott Gilman, Mindy Allen, Jenny Fox, Jocelyn Moore, Mary Jane Hutchenson, Jill Witt

 Meeting called to order at 10:01am

 Kristi Mead ran the meeting in the absence of Denise McDonald and Betsy Braulich.

 Minutes:

Approval of Jan, Feb, and March minutes.  All Approved.  No objections.

 Statement:

Denise sent in a statement to read.  Denise couldn’t make the meeting due to a family medical emergency.  Denise’s statement is as follows:

 “The Booster Club Board is working very hard at getting our non profit status filing taxes and creating new and bigger fundraisers for our girls and boys.  Our board is putting in many hours behind the scenes to make sure the June annual meeting is very organized and we have every piece of information given to you and our new members who will be joining in the next couple of months.”

Web Site:

Trudi Spencer is taking care of our web site for us.  Denise is giving her all of the meeting minutes to put on the site.  Trudi will have them on the site by the end of April. Visit the web site at www.aspiregym.com

Annual Meeting:

Meeting is scheduled for Friday June 5th at 7pm.  ALL MUST ATTEND, An AGREEMENT will be signed,  AND $5 will be due for  membership fees.  If for some reason you can not attend this meeting you MUST communicate that to a member of the Board so that they can meet with you and give you the information that is required for the 2009/2010 season.  At this time Membership is a CHOICE and not a REQUIREMENT. 

Disbursement of Aspire Invitational Fundraising Money:

Before May 1st the following will be disbursed into accounts:

If you worked at least one of the meets and donated at least one door prize to the girls meet you will receive $115.75 per gymnast.  If you didn’t donate an item, you will receive $57.87 per gymnast.  If you donated an item and didn’t work at least one of the meets you will receive $57.87 per gymnast.  $5000 will remain in the general fund for general purposes.

 Board Member Seat Available:

Jill Witt has decided not to be the Vice President for the Aspire Booster Club.  The opening has come up and Gidget Hagenburger has been nominated by Denise.  If there are any further nominations for Vice President please email them to a member of the Board.  All nominees will be voted on at the May meeting.

 Treasures Report:

Betsy wasn’t at the meeting today.  Beverly stated they are working on a new bank account and it will be established by the May meeting.

 Secretary Report:

Kristi Mead is working hard on getting all the events scheduled for the Banquet.  Sheets have gone out to the families to sign up for the banquet.  The cost is $13.50 per person.  All funds must be received by April 24th so an appropriate head count can be given to the caterer.  The event will be at the Jones Center in Springdale, May 8th starting at 5pm.  Kristi Sloan is helping get a book of letters from the gymnasts to the coaches, and Jill Witt has agreed to put together a program.  Kristi Mead is putting together the PowerPoint presentation with pictures of the girls/boys at meets.  Please email her directly with pictures of your gymnast at luv2beamama@yahoo.com .

Fundraising Coordinator’s Report:

Leslee Urhahn couldn’t be at the meeting today.  The Swan’s truck will be at the gym on Wednesday, April 15, 2009 to start off an exciting fundraiser!  Hope to see everyone there!!

 Ana Mizelle’s Report:

Ana agreed to be the “Parent Liaison” between the Booster Club and the Owners of the gym for discussions and concerns that are brought up during booster club meetings.  Answers will be found out and re-visited during the booster club meetings or via email for time sensitive issues.  We believe this will help with communication.  Thank you!

 Coaches Fees:

The decision by Aspire Gymnastics is to leave the coaches fees in the tuition payment for the 2009/2010 season.  Fees will be higher than the last season.  This decision is one that the Owner has the privilege to make to ensure that fees get paid on a timely basis.  The Booster Club is hoping that we can bring this up again for the 2010/2011 season, but for now the decision has been made.
