Aspire Booster Club Meeting Minutes

Date: February 10, 2009

Attendees:

Denise McDonald, Kimberley Gilman, Kim McCutcheon, Kristi Mead, Jill Witt, Tony Airoso, Bev Parkerson, Lisa Kidd, Kelly Keown, Jim Sonnatag, Lavanna Zaman

· Meeting called to order at 6:03pm, by President Denise McDonald.

· Motion made to approve minutes by Kimberly Gilman, and 2^nd by Kim McCutchen. Motion passed.

· Meet Report-

The meet was a success. The ABC should have made several thousands of dollars. There was one team that was a no show because of the ice storm and it is being discussed if we should refund their money. There are also some outstanding bills that will be paid. The final report will come in by the next meeting. Thanks to everyone who participated and made this meet a success.

· It is being discussed that in 2010 Aspire will be hosting two meets. Our own, and possibly the State Meet.

· Annual Meeting will be the first week in June. Denise will coordinate with Angela on the final date. At this meeting the Financials will be reviewed and there will be a detailed description of the Booster club at that time. Girls and Boys will receive all the info.

· Board Meeting will be in March ~ any ideas need to be discussed and emailed to any board member.

· Trudy is doing the website for ABC. If you want to email her pictures to put on the website, please do so. The website will be open to the general public. Scores will be displayed but not next to pictures. It is possible that a release needs to be signed by individuals wanting to post pictures. www.aspiregym.com

· End of the Year Banquet. Kristi Mead has volunteered to be the chairperson. She will be forming committees to get this done. We are looking at around Mid May. Dates will be coordinated with John and Angela first.

· No report from the V. President.

· Treasure’s Report ~ State Meet Fees Due February 12^th. And the fees are over $100 per entry. Booster Club will pay now and bill will be due by 3/1/09. If not paid won’t go to states.

· Kim Gilman suggested that a Financial Report and Bank Statement be passed around at the ABC Board meetings for a system of checks and balances.

· No report from the Secretary at this time.

· Fundraising, tax ID applied and all paperwork done by Betsy.

· The Booster Club has a new P.O. Box in Bentonville. Cost was $40 for the year.

· Saturday Meetings: After the meet schedule, we will have a Saturday Booster Club meeting. The tentative meeting schedule is as follows:

April – 1^st Saturday

May - 1^st Saturday

June – Annual Meeting – tba

July – No Meeting

August – No Meeting

September – New Members Meeting

· Meeting Adorned at 6:30pm

The next Booster Club Meeting will be on Wednesday, March 11th @ 5:30pm.
