Parents Meeting

January 12, 2008

Meeting called to order at 6:06pm, by President Denise McDonald.

  • Denise handed out folders to Parents.  Folders contained a copy of the A.B.C Bylaws, Meeting Agenda, and Booster Club Agreement
  • There was a change made to s the Booster Club Agreement:  Please delete #2.  Working the Meet is NOT a requirement!
  • Introduction of Directors:  Denise McDonald - President, Jill Witt – Vice President, Betsy Braunlich - Treasurer, Kristi Mead - Secretary, Beverly Parkerson – 1st Member at Large, Ana Mizelle – 2nd Member at Large, and Tony Airoso – 3rd Member at Large (added at tonight’s meeting)
  • This is an all NEW Booster Club.  The Booster Club has acquired a 501 3 c, with a valid tax id # and is working with an accountant.
  • Membership with the Booster Club is open to all Team Parents on the Boys and Girls Teams
  • The Boys Team Parents were given an option to break away from this Booster Club and start a club of their own, but the Parents of the Boys team that were in attendance of tonight’s meeting chose to stay a unified Booster Club of all Aspire Teams – both Boys and Girls.
  • Past issues were discussed of how the Boys Team was not handled fairly in the realm of the Booster Club.  Denise stated that one of the main issues was billing properly for the meet fees.  The Boys Coach has been informed that this needs to be changed, and communication to the Booster Club should be handled first and foremost to insure that all billing of meet fees are handled on a timely basis.
  • The Booster Club requires that every member of the Club attend the June Meeting.  This is the only required meeting of the year.  At the time of said meeting there will be a $5 Membership Fee due and the Booster Club Agreement should be signed by all Team Parents that wish to participate in the Booster Club, by February 2009.
  • Billing – A POSITIVE ACCOUNT MUST BE KEPT.  Billing for meet fees will be billed by the 15th of the month and are due by the end of the month.  Currently the fees for the Flame Meet are due ASAP.  Return check fees will be $20.
  • Fundraising – IS VOLUNTARY.  A Buy-Out option is available.   Ongoing fundraising events are: Lollipop Sales, and Chick-fil-a.  Cynthia is checking on the leo fundraiser.  Open Gym may not be available as a fundraiser any longer.
  • Aspire Meet – Door Prizes are expected from both Boy and Girl Team Parents.  Girls Parents are working sessions. Sign up list are on the Bulletin Board.  If members don’t sign up a list will be put up asking for more volunteers.
  • Treasurers Report:  as of 12/31 balance is $14,416.54, including a past due balance of over $4,000.  Estimated amount from the Aspire Meet should be close to $10,000.   The Balance should be split and a portion be held over for the next year. There will be some expenses with setting up the 501 3 c.  All invoices have been given to Parents in their folders, please check for mistakes, and let Betsy know if there are any errors.
  • There are Booster Club supply shelves in John’s office.  Any donations of office supplies or any help with office work such as printing and copying is very much appreciated.
  • Saturday Meetings are a possibility for the booster club in the future.
  • Minutes will be emailed within a week, and also a copy posted on the bulletin board.

 Meeting adjourned at 6:45pm.

 The next Booster Club Meeting will be on Tuesday, February, 10th, 2009 @ 6:00pm
